A useful professional lesson does not have to be a grand success story. It can be a small observation: a question that prevented confusion or a checklist that made a handover clearer.

The challenge is to give another person enough context to understand the lesson without implying that your experience guarantees the same outcome for them.

Start with a specific situation

Describe what was happening, what you were trying to achieve and which constraints mattered. A fictional example might be: “Our small team needed to hand over an unfinished workshop plan before a colleague went on leave.” That gives a reader a clearer starting point than “Communication is essential.”

Then explain the action: “We separated confirmed decisions from unresolved questions and wrote down where the supporting notes could be found.” Keep the example focused on something a reader can inspect or adapt.

Separate observation from interpretation

Say what you actually observed, then explain what you think it means. If you did not measure time saved or errors avoided, do not invent a number. You can say that the team found the handover easier to discuss, provided that is a truthful account, while acknowledging that other factors may have helped.

Include what remains uncertain. A technique that suited a small team may need adjustment for a larger organization, a different language or a more sensitive process.

Respect the people behind the story

Before sharing a real example, check whether you have permission to disclose its details. Removing a name may still leave a customer or colleague recognizable. Prefer a clearly labelled fictional illustration when permission or confidentiality is unclear.

Use your own words. If you rely on another person's idea or published material, identify the source and check that your intended use is allowed. Seek an appropriate review when rights or confidentiality questions remain unresolved.

Invite a conversation

End with a specific question such as “How would you adapt this handover for a team working across time zones?” It gives other professionals room to bring their own experience rather than simply agree.
